ECC Retreat Planning & Budgeting Principles

  • The church offers scholarships to those in need.
  • The church covers costs for speakers, pastors, staff, and childcare.
  • Organizers encouraged to use church facilities to save costs; savings can be reallocated to materials, food, etc.
  • Participants encouraged to pay the registration fee as a commitment.
  • Communicate with Church Administrator 2–4 months before event.
    • Draft engagement letter.
    • Check if speaker is on ECC approval list; submit bio if not.
  • Provide Administrator with speaker contact info and session count.
  • Provide Accountant with signed check request 2–3 weeks in advance if needed.
  • Includes all campuses/congregations.
  • Church covers speakers, pastors, staff, childcare.
  • Participants pay for food and lodging.
  • Organizers communicate food and lodging costs to participants.
  • Registration fees encouraged for commitment; donations to cover balance may not be fully tax deductible.
  • Includes Stephen Ministry, Lifecare Ministry, Alpha, etc.
  • Use church facilities when possible.
  • Church covers speaker costs.
  • Participants cover at least 50% of lodging and food.
  • Separate “Training” and “Appreciation” events if possible.
  • Includes small, large, young adults, H2, Bread fellowship groups.
  • Church admin signs contracts and provides insurance.
  • Small groups handle registration.
  • Events must be financially self-sufficient including childcare and speaker honorarium.
  • Includes CG English, Green Pasture, Bethel Fellowship.
  • Church pays for speaker costs.
  • Students pay for lodging and food.
  • Includes off-campus youth fellowship events.
  • Church covers speaker and counselors’ costs.
  • Participants pay for food, lodging, and apparel (T-shirts, sweatshirts).
